Track Chair Setup


Frequently Asked Questions

#1 How to manually assign a Track Chair?

  1. Click Dashboard
  2. Click Speaker module
  3. Click Review
  4. Click Track Chairs in horizontal menu
  5. Select Manage Contacts
    • Show Reviewer Pool button - will display a list of existing Reviewers in the Reviewer Pool
    • Show Existing Chairs button - will display currently assigned Track Chairs
    • Find Contact button to search the contacts module, begin entering the first few letters of the lastname of a person for a matching list to display
  6. Click on the name of the individual
  7. Click the check boxes for each track the Track Chair is responsible
  8. Scroll down and click Submit button

#2 How to View the current list of Track Chairs?

  1. Click Dashboard
  2. Click Speaker module
  3. Click Review
  4. Click Track Chairs in horizontal menu
  5. Select View by Track

#3 How to manage the Track Chair Module settings?

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Track Chairs in horizontal menu
  5. Select Settings
    • Update or change the items you want displayed or hidden in your Track Chairs module
    • TIP: Click the ? symbol to learn more about each setting
  6. Click Update Settings button to apply changes


#4 How to Open / Close Track Chair?

If your Track Chairs cannot access the Track Chair site, ensure the site is open.

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Track Chairs in horizontal menu
  5. Select Settings
  6. Set Site Open attribute = Open
    • If you want to close the site, click Site Open = Closed
  7. Scroll down and Click Update Settings button to save

NOTE: if you have used Track Chair for past conferences, ensure to close the Track Chair for EACH past conferences by going into each Speaker - Review module for each conference.


#5 Where to find the link for the Track Chair Module?

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Track Chair in horizontal menu
  5. Select Settings
  6. Locate the URL address beside
    • This is the url the Track Chairs would use to log in to the Track Chair module


#6 How to setup the admin emails for an Abstain field?

If an Abstain field is defined on the Review Form, an admin(s) may be emailed when an abstention is submitted by a reviewer.

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Settings in horizontal menu
  5. Scroll down to the Track Chair section, Abstain Admin Notification field
  6. Set Abstain Admin Notifcation to Yes
  7. In Abstain Admin Email List, enter the email address(es) to be emailed
    • Note: to enter more than 1 email address, separate the emails with a ; and no spaces


#7 How to enable chairs to Assign Final Status for abstracts and/or send notifications?

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Track Chairs in horizontal menu
  5. Select Settings
  6. Set the Open/Closed attribute for Assign Final Status to Submissions
  7. Set the Open/Closed attribute for Send Final Status to Submissions
  8. Scroll down and click Update Settings button to apply changes

#8 How to enable paper review settings for Track Chairs?

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Track Chairs in horizontal menu
  5. Select Settings
  6. Set the Open attribute for Review Paper Submissions
  7. Set the Open attribute for Manage Paper Reviewers
  8. Set the Open attribute for Assign Paper Final Status
  9. Scroll down and click Update Settings button to apply changes

#9 How to enable the program for Track Chairs to manage?

  1. Click Dashboard
  2. Click Speaker Module
  3. Click Review button
  4. Click Track Chairs in horizontal menu
  5. Select Settings
  6. Set the Open attribute for Manage Program
  7. Scroll down and click Update Settings button to apply changes
