Frequently Asked Questions

#1 Open vs Closed Membership

The X-CD membership module allows an Open (Public) or Closed (Private) membership.

The X-CD terminology refers to an Open membership as a Public membership and a Closed membership as a Private membership. Public and Private membership are used to define the dues (i.e. term length of membership and associated fee amount)

Public (Open) Membership

Public membership means users are able to sign up and pay for this category.

Private (Closed) Membership

Private membership means users only have access to pay for dues which have been assigned to the individual by the administrator.

#2 Rolling vs Fixed Membership Type

The X-CD membership module allows membership dues to be defined in two ways.

Membership dues may be setup as Rolling (variable term lengths e.g. 6 months, 1 year, 2 year, 3 year, etc) or Fixed (pre-defined calendar end date). The X-CD system does not allow a combination of Rolling and Fixed memberships. It must be either only Rolling or Fixed.

Rolling and Fixed memberships may be set up as Public or Private Membership types.

Rolling Dues

Rolling membership uses a set term duration and the dues payment date made by an individual to set the end term/expiry date of an individual's membership. Therefore the membership end date is unique for each individual, as it is determined by the date of when a person pays for their membership.

Public Rolling Dues

Public Rolling Memberships allow any one to sign up (i.e. join) and pay for a membership. The individual's membership end/expiry date will be set based on the term duration of the category the person joined and payment date.

For example: Pat joins the Full Member category and pays for a 2 year membership on June 15, 2017. Pat will receive an invoice by email. The system will add Pat to the Full Member group and the expiry date of the membership will be set by the system as June 15, 2019.

Closed Rolling Dues

Closed Rolling Memberships allow the administrator to assign the associated member due to an individual.

For example: The administrator will assign the dues to Pat's profile for the Full Member dues. The administrator will email Pat to login and pay the membership dues. When Pat logs in and pays for the dues, the system will add Pat to the corresponding group,  set the membership expiry date to June 15, 2019 and email the invoice to Pat.

Fixed Dues

Fixed memberships have a pre-defined calendar end date for the membership term. Therefore the membership end date for each individual member is the exact same, regardless of when a person joins the membership.

Public Fixed Dues

Public Fixed Memberships allow any one to sign up (i.e. join) and pay for a membership. The individual's membership end/expiry date will be set based on the Dues Expiration Date field defined in the Dues Category.

Closed Fixed Dues

Closed Fixed Memberships allow the administrator to assign the associated member due to the individual and the end date of the membership will correspond to the Dues Expiration Date field defined the Dues Category.

#3 Membership Groups

In X-CD, groups may be defined as a Group (non-membership) or Membership Group (that may or may not pay dues).

An individual contact may belong to one or more Groups and/or Membership Groups.

A Membership Group must be created and then linked to a Dues Category.
NOTE: If a membership group does not pay dues, then it will not have a corresponding Dues Category.

The Dues Category dictates the associated member due rate and the end date of the membership.

There is no limit to the number of Groups or Membership Groups that are defined.
