Frequently Asked Questions

#1 How to manually Add a Submission?

  1. Once logged in to the Track Chair Module
  2. Select the Track to view
  3. In the left menu, click + Add Abstract
  4. In Author/Presenter field, enter the first few characters of the lastname
    • This will return existing matches in the system
    • If the person is listed, click on the name to select
    • If the person is not listed, Click Add Contact, then return to this screen again
  5. Enter a Title
  6. Set Mark as Invited to Checked, to flag the submission as an invited speaker
  7. Update the Email Message
  8. Click Add Submission button

#2 How to View / Edit an Abstract?

  1. Once logged in to the Track Chair Module
  2. Select the Track to view
  3. From the list of abstracts, click on the ID number
    • Click View Abstract to open window to see the abstract details
    • Click Edit Abstract to open the abstract in edit mode and make revisions
    • Click Authors to add/update authors on the abstract
    • Click Email to compose and send an email to the Primary Author
    • Click Notes to add internal administrative comments to the abstract
    • Click Withdraw to set the abstract status to Withdrawn

#3 How to Review Submissions?

  1. Once logged in to the Track Chair Module
  2. Select the Track to view
  3. In the left menu, click Perform Reviews
    • This is list all abstracts that have been assigned to you
  4. Click on the ID number of the submission to perform the review
    • The abstract will appear first, followed by the Review Form to be completed
    • If the form includes an Abstain check box, to Abstain from reviewing
      • Click the check box
      • Click the I Abstain button
      • Do NOT complete the remainder of the review form
    • Otherwise, scroll down to Complete the Review Questions
      • Click Submit Review button


#4 How to get a print out of my assigned abstracts?

  1. Once logged in to the Track Chair Module
  2. Select the Track to view
  3. In the left menu, click Perform Reviews
  4. In the Print drop-down list, you may select a subset of abstracts based on theme or all abstract
    • This will produce a pdf file of the abstracts that may be printed.

#5 How to schedule abstract(s) into the program?

  1. Once logged in to the Track Chair Module
  2. Select the Track to view
  3. In the left side menu, click Manage Program
  4. In the Change Session drop down filter, select the applicable session and click Go button
  5. Click Add Submissions
  6. From the list of abstracts, click the check box so it is checked for all abstracts to be added to the session
  7. Click Add to Session button


#6 How to re-order abstracts in the program schedule?

  1. Once logged in to the Track Chair Module
  2. Select the Track to view
  3. In the left side menu, click Manage Program
  4. In the Change Session drop down filter, select the applicable session and click Go button
  5. Click Order Submissions
  6. Drag and drop the submissions into the desired order

#7 How to edit the Final Status email content?


#8 How to copy the Track Chair on the Final Status email?

  1. From the Admin Dashboard, select your Speaker Module
  2. Click Review button (if using Paper review, click Review Papers in left side menu)
  3. Click Final Status located in the horizontal menu,
  4. Select Manage Status
  5. Click the radio button for a Final Status
  6. To cc the Track Chair on the Final Status email select 'Yes' for the field CC Lead Track Chair
  7. Scroll down, click Update Status to save changes


#9 How to Assign a Submission to a Session?

  1. Once logged in to the Track Chair Module
  2. Select the Track to view
  3. From the list of abstracts, click on the icon on the right of the Session text listed under an abstract
  4. Select a Session from the dropdown list
  5. Click Save
